Creating an account is completely free for healthcare professionals. Facilities pay a per-shift service fee only when a placement is confirmed — there are no subscription fees or upfront costs. See our pricing page for a full fee schedule.

Yes. The FindAStaff mobile app is available for iOS and Android. Professionals can browse shifts, receive push notifications for nearby openings, and manage their schedule on the go. Facilities can approve applicants, view timesheets, and send urgent shift alerts — all from their phone.
Posting shifts, managing staff, and using facility tools
From your facility dashboard, click Post a Shift. Fill in the shift date, start/end time, required profession (e.g. RN, CNA, PT), unit or department, and any special requirements. The shift goes live immediately and eligible professionals are notified.
Absolutely. When posting a shift, toggle Recurring to set a repeating pattern (daily, weekly, custom). For longer contracts — 4+ weeks — use the Block Booking feature to request the same professional for an extended period at a negotiated rate.
Every professional on FindAStaff passes a multi-step verification process before they can accept any shift:

Yes. After a completed shift, you can add a professional to your Preferred List. When you post a new shift, you can either restrict it to your preferred pool or give them priority notification before opening it to the broader marketplace.
If a professional cancels within 4 hours of a shift, the shift is automatically re-posted to the marketplace with an Urgent tag, and push notifications are sent to all qualified, available professionals in your area. Our average urgent fill time is under 90 minutes.
Professionals who cancel repeatedly receive reduced priority in shift matching and may be removed from the platform.
Yes. Under Settings → Team Members, you can invite unlimited admins and set role-based permissions: Super Admin, Scheduler, Billing Only, or View Only. Each user gets their own login and audit log entries.

After completing your profile, go to Browse Shifts. Filter by profession, location radius, shift time, pay rate, and facility type. Hit Apply on any shift that fits — most facilities respond within 30 minutes. You can also enable Instant Shift Alerts to get notified the moment matching shifts post.
Yes — your schedule is entirely in your hands. Under My Availability, mark the days and hours you're open to work (day, evening, night, or mixed). You'll only be surfaced for shifts that match your availability. You can update this anytime, including blocking off vacation dates.
Use the FindAStaff mobile app to clock in when you arrive at the facility — GPS location is verified automatically. Clock out the same way at the end of your shift. Your timesheet is immediately submitted to the facility for approval. If a facility uses a physical clock-in system, you can manually log times in the app and attach a photo of the sign-in sheet.
Yes. There's no restriction on how many facilities you work with through FindAStaff — you can accept shifts from different facilities on different days. The platform ensures you're never double-booked. Some facilities may request exclusivity for block bookings; that is disclosed in the shift posting.
After a shift is completed and approved, you'll receive a prompt in the app to rate the facility on factors like staff friendliness, equipment availability, and parking. Reviews are anonymous and help other professionals make informed decisions about where to work.
The Loyalty Program rewards professionals who consistently accept and complete shifts without cancellations. Points accumulate per shift worked and can be redeemed for bonus pay, Amazon gift cards, or continuing education (CEU) course credits. Gold and Platinum tiers unlock priority shift matching and exclusive high-pay facilities.
License verification, documentation, and regulatory standards
Navigate to My Profile → Credentials. Upload photos or PDFs of your nursing license, certifications, immunization records, and any other required documents. Our system automatically extracts expiration dates and sends renewal reminders 60 days before a credential expires.
Most licenses are verified within 1–4 business hours via primary source connections to state licensing boards. Background checks typically complete within 24–48 hours. Once all required documents are verified, your profile is marked Fully Credentialed and you can begin accepting shifts.
You'll receive automated alerts at 60, 30, and 7 days before expiry. If a credential lapses, your profile is temporarily paused and you won't be able to accept new shifts until the renewed document is uploaded and verified. Any already-booked shifts within the next 48 hours will remain active with a compliance warning sent to the facility.
FindAStaff is HIPAA-compliant and uses AES-256 encryption for all stored credential documents. Access is role-based — facilities only see what they need to fulfill compliance requirements. We undergo annual SOC 2 Type II audits. Your SSN and banking details are never shared with facilities.
No. Your background check is conducted once on the FindAStaff platform and remains valid for 12 months (or until a reportable event triggers a re-check). All facilities accessing your profile see the same verified background status. A small number of facilities with specific CMS or Joint Commission requirements may request their own check — this is disclosed in the shift posting.
Yes. If you hold an NLC (Nurse Licensure Compact) multi-state license, FindAStaff automatically recognizes your privileges in all compact member states. Simply update your profile to indicate your home state and compact status. The platform will surface eligible shifts across all states where you're privileged to practice.
Pay rates, invoicing, and payment schedules
Facilities set their own pay rates when posting shifts, guided by our real-time market rate benchmarks for your region and specialty. Professionals see the gross hourly rate upfront — no hidden deductions. Rates are locked once a professional accepts a shift and cannot be changed.
Professionals are paid via direct deposit every Friday for shifts completed Sunday–Saturday of the prior week. If you need faster access to earnings, our Instant Pay feature lets you transfer up to 80% of approved earnings to your bank or debit card within minutes, for a small flat fee.
FindAStaff professionals are classified as W-2 employees of FindAStaff, not independent contractors. This means we handle all payroll taxes, workers' compensation, and general liability insurance — and you receive a W-2 at year end. Facilities are not responsible for any employment taxes or benefits.
Facilities are invoiced weekly. Once a timesheet is approved, it appears on your account ledger. Consolidated invoices are emailed every Monday and are due net-15. You can pay by ACH, credit card, or wire transfer. Invoices are exportable to PDF or CSV for your accounting team.
No fee is charged if a shift is cancelled before a professional accepts it. If cancelled after acceptance with more than 8 hours' notice, a $25 administrative fee applies. Cancellations within 8 hours of shift start may incur a partial-shift fee to compensate the professional for lost earnings — see the full policy in our Terms of Service.
Yes. Facilities filling 50+ shifts per month qualify for our Enterprise tier, which includes reduced service fees, a dedicated account manager, priority shift fills, and custom SLA guarantees. Contact our enterprise sales team to discuss your volume and get a custom quote.
Managing your profile, security, and notifications
Click Log In then Forgot Password? Enter your registered email and we'll send a secure reset link valid for 30 minutes. For security, reset links can only be used once. If you don't receive the email within a few minutes, check your spam folder or contact support.
Yes. Enable 2FA under Settings → Security. We support authenticator apps (Google Authenticator, Authy) and SMS-based verification. Enterprise facility accounts can enforce 2FA as mandatory for all team members from the admin console.
Go to Settings → Notifications. You can independently toggle push notifications, email alerts, and SMS messages for: new shift matches, application updates, timesheet approvals, payment confirmations, and credential reminders. Set quiet hours so you're never pinged during off-hours.
Deactivation hides your profile and pauses shift matching without deleting your data — useful if you're taking a break. Deletion permanently removes all personal information (within 30 days per our data retention policy). Both options are available under Settings → Account → Close Account. Outstanding invoices or scheduled shifts must be resolved before deletion.
Yes. Under Settings → Profile → Contact Information, enter your new email address and click Save. A verification link will be sent to the new address; your email won't update until you click it. Your old email will remain active until verification is complete.
Open the completed shift in your Shift History and click Report an Issue. Select the issue type (pay discrepancy, unsafe environment, timesheet error, conduct concern) and provide details.
